Thank you for using Work For Lodgings!

This Privacy Policy describes how we collect, use, process, and disclose your information, including personal information, in conjunction with your access to and use of the Work For Lodgings Platform.

If you see an undefined term in this Privacy Policy (such as Project or Work For Lodgings Platform), it has the same definition as in our Terms and Conditions.

You are required to provide personal information to Work For Lodgings in order to enter into a contract with us. Failure to provide this personal information may mean that we are unable to execute the contract, and could result in termination of our provision of services to you.

Please read the following carefully to understand how we use and protect the information you provide to us.

Information we collect from you

We ask for and collect the following personal information about you when you use the Work For Lodgings Platform. This information is necessary to enable us to deliver the requested Work For Lodgings services to you and to allow us to comply with our legal obligations.

  • Registration. When you register to create a Work For Lodgings Member Account, we require certain information such as your first name, last name, address, phone number, email address, and a profile picture.
  • Profile and Project Information. To use certain features of the Work For Lodgings Platform (such as creating a Guest-worker profile or a Host Project), we may ask you to provide additional information, which may include information on education, skills, accommodation, and some pictures.
  • Identity Verification Information. To help create and maintain a trusted environment, we may collect identity verification information (such as images of your government issued ID, passport, national ID card, or driving license, as permitted by applicable laws) or other authentication information.
  • Communications with Work For Lodgings and other Members. When you communicate with Work For Lodgings or use the Work For Lodgings Platform to communicate with other Members, we collect information about your communication and any information you choose to provide.

Information you choose to give us

In order to reach a better Member experience in your use of the Work For Lodgings Platform, you may choose to provide us with additional personal information. This additional information may form part of your Work For Lodgings profile (such as gender, preferred language(s), city, and a personal description). Some of this information will be publicly visible to others.

You may also choose to provide us information when you fill in a form, conduct a search, update or add information to your Work For Lodgings Member Account, respond to surveys, post to community forums, participate in promotions, or use other features of the Work For Lodgings Platform.

Information that is necessary for Membership fees

If membership fees apply to the type of Member Account that you register on the Work For Lodgings Platform, then certain financial information (such as your credit card information) will be collected by a widely trusted payment gateway, such as Paypal, in order to process payments and comply with applicable law. Work For Lodgings does not collect, store or process any credit card or other financial information on our own servers.

Information we automatically collect from your use of the Work For Lodgings Platform

When you use the Work For Lodgings Platform we may automatically collect information, including personal information, about the services you use and how you use them. This information is necessary for the adequate performance of the contract between you and us, to enable us to comply with legal obligations and serves our legitimate interest in being able to provide and improve the functionalities of the Work For Lodgings Platform.

We may also collect certain information about your visits to the Work For Lodgings Platform. This may include your IP address, geographical location, hardware and software information, referral source, log data, length of visit, number of page views, crash data, cookie data, and similar information. We may use this information for a number of purposes, including website administration, optimizing the use and performance of the website, disclosing to third party contributors or for security purposes. Individual users will not be identifiable from this information.

Information we collect from third parties

Work For Lodgings may collect information, including personal information, that others provide about you when they use the Work For Lodgings Platform, or obtain information from other sources and combine that with information we collect through the Work For Lodgings Platform. We do not control or supervise how the third parties providing your information process your personal data, and any information request regarding the disclosure of your personal information to us should be directed to such third parties.

For purposes of background check, to the extent permitted by applicable laws and with your consent where required, Work For Lodgings may obtain police records, registered sex offender checks, or other forms of background checks. We may use your information, including your full name and date of birth, to obtain such data. We may also receive additional information about you, such as demographic data or fraud detection information, from third party service providers and/or partners, and combine it with information we have about you. For example, we may receive background check results (with your consent where required) or fraud warnings from service providers like identity verification services for our fraud prevention and risk assessment efforts. We may receive information about you and your activities on and off the Work For Lodgings Platform through partnerships, or about your experiences and interactions from our partner online service networks.

How we use the information collected

Work For Lodgings does not sell, trade, or rent the personal identification information or Work For Lodgings Members to others. We store, use, and process information, including personal information, about you for the legitimate purpose of providing, understanding, improving, and developing the Work For Lodgings Platform. The information serves in the creation and maintenance of a trusted and safer environment that complies with our legal obligations, as well as to ensure that the services we offer remain suitable for our Members, and to improve Members’ usage experience of the Work For Lodgings platform.

We may use your information to:

  • enable access to the Work For Lodgings Platform, enable the communication between Members, maintain and improve the services provided, perform analytics and conduct research
  • send you alerts about Projects that match your search preferences , send you service or support messages, updates, security alerts, and account notifications
  • detect and prevent fraudulent activity, spam, abuse, security incidents, and other harmful activity
  • conduct security investigations and risk assessments
  • verify or authenticate information or identifications provided by you
  • perform checks against databases and other information sources, including background or police checks, to the extent permitted by applicable laws and with your consent where required
  • resolve any disputes with any of our Members
  • comply with our legal obligations
  • enforce our Terms and Conditions and other policies.

Your information may also be used to:

  • send you promotional messages, marketing, advertising, and other information that may be of interest to you based on your preferences (including information about Work For Lodgings or partner campaigns and services)
  • send you other general (non-marketing) commercial communications, such as information about the website and services provided to you by us at that time
  • provide customer service in relation to your use of the website, to contact you, to deal with enquiries and complaints relating to the use of the website and to notify you about changes to our services
  • administer referral programs, rewards, surveys, sweepstakes, contests, or other promotional activities or events sponsored or managed by Work For Lodgings or its third party partners.

We will process your personal information for the purposes listed in this section given our legitimate interest in undertaking marketing activities to offer you products or services that may be of your interest. You can opt-out of receiving marketing communications from us by following the unsubscribe instructions included in our marketing communications.

Sharing your personal information

To help facilitate the exchange of work for accommodation, or other interactions between Members, we may need to share some of your information, including personal information, with other Members, as it is necessary for the adequate performance of the services that the Work For Lodgings Platform provides, as follows:

  • if you are a Guest-worker and you make an application for a Host Project, certain information about you is shared with the Host, including your full name, your resume data and photos
  • if you are a Host and you have accepted a Guest-worker application for your Project, certain information may be shared with the Guest-worker to coordinate the work for accommodation exchange, such as your full name, e-mail address and phone number .

On the Work For Lodgings Platform, certain information that you publish is visible to the general public. For example, parts of your profile page, such as description information, as well as your city, may be visible to others. Host Project pages are publicly visible and include such details as information on the accommodation offered and the work required.

Based on our legitimate interest to promote the Work For Lodgings Platform we may display parts of the Work For Lodgings Platform (e.g. Host Project pages) on sites operated by business partners of Work For Lodgings, using technologies such as widgets or APIs.

Information you share publicly on the Work For Lodgings Platform may be indexed through third party search engines. If you change your settings or your public-facing content, these search engines may not update their databases. Work For Lodgings does not control the practices of third party search engines, and they may use caches containing your outdated information.

Work For Lodgings may disclose your information, including personal information, to courts, law enforcement or governmental authorities, or authorized third parties, if and to the extent we are required or permitted to do so by law or if such disclosure is reasonably necessary (i) to comply with our legal obligations, (ii) to comply with legal process and to respond to claims asserted against Work For Lodgings, (iii) to respond to verified requests relating to a criminal investigation or alleged or suspected illegal activity or any other activity that may expose us, you, or any other of our Members to legal liability, (iv) to enforce and administer our Terms and Conditions or other agreements with Members, or (v) to protect the rights, property or personal safety of Work For Lodgings, its employees, its Members, or members of the public.

These disclosures may be necessary to comply with our legal obligations, for the protection of your or another person’s vital interests or for the purposes of our or a third party’s legitimate interest in keeping the Work For Lodgings Platform secure, preventing harm or crime, enforcing or defending legal rights, preventing damage, and to support our audit, compliance, and corporate governance functions.

Data retention, changes and erasure

Work For Lodgings will retain your personal information for at least amount of time necessary to fulfill the service Work For Lodgings provides to you and to comply with our legal or regulatory obligations. If you no longer want us to use your information to provide the Work For Lodgings Platform service to you, you can request that we erase your personal information and close your Member Account. In keeping with GDPR legislation, specific circumstances in which you can request the deletion or removal of personal information include:

  • where the personal information is no longer necessary for the purposes for which it was collected or otherwise processed
  • where you withdraw consent
  • when you object to the processing and there is no overriding legitimate interest for continuing the processing
  • where the personal information was unlawfully processed in breach of GDPR legislation
  • where the personal data has to be erased in order to comply with a legal obligation.

Please note that if you request the erasure of your personal information:

  • we may retain some of your personal information as necessary for our legitimate business interests, such as fraud detection and prevention and enhancing safety
  • we may retain and use your personal information to the extent necessary to comply with our legal obligations
  • residual copies of your personal information may not be removed from our backup systems for a limited period of time because we keep backups of the Work For Lodgings Platform to protect from accidental or malicious loss and destruction.

According to the GDPR legislation, you are entitled to know what personal data Work For Lodgings holds about you and you may ask us to make any necessary changes to ensure it is accurate and kept up to date.

Security

Work For Lodgings is continuously implementing and updating administrative, technical, and physical security measures to help protect your information against unauthorized access, loss, destruction, or alteration. Some of the safeguards we use to protect your information are firewalls and data encryption, and information access controls.

Data transmission over the internet is inherently insecure. Although we employ appropriate technological and organizational security measures to protect your data we cannot guarantee the security of any data sent over the internet.

If you know or have reason to believe that your Work For Lodgings Account credentials have been lost, stolen, misappropriated, or otherwise compromised or in case of any actual or suspected unauthorized use of your Member Account, please contact us following the instructions in the Contact Us section below.

Changes to this privacy policy

Work For Lodgings reserves the right to make changes to this privacy policy at any time. Any such changes to our privacy policy will be posted to our website and, if we consider it to be appropriate, sent to you by e-mail.
